Who has access: System Admins
Looking to add more users to Envisio? Follow the steps below to manually add employees.
The License section under your avatar displays your subscription information such as user count and contract expiration date. If you're over your license count, contact us to discuss increasing your license count.
Add New Employees
To add new employees, you need to navigate to the Employees area.
- Click on your Profile located on the bottom-left corner of the menu
- Select Employees from the menu, which takes you to the Employees page.
- Click New Employee.
- On the New Employee page, fill in the following fields. Fields marked with an asterisk indicates required fields.
- First Name
- Last Name
- Initials
- Department - Select the department that the user belongs. For reporting purposes, users can belong to 1 or more departments.
- Job Title
- Role - Select from System Admin, Standard User, View Only User (see chart below for a breakdown of each role.)
- Plan Membership - Add the user as a member to one or more plans so that they can be assigned to the planning elements within the plan. You can only add members to Active and Planning mode plans.
- Send Confirmation - Send the user an activation email to set up their password and login to Envisio.
- Analytics Admin - Enable to allow access to the system settings for Envisio Analytics.
- Projects Admin - Enable to allow access to the system settings for Envisio Projects.
- Click Save

Module-specific Role
There are 2 module-specific roles you may want to consider for your users:
| Role | Description |
| Analytics Admin | Admin function such as transfer ownership or the ability to impersonate other user. Requires the user to have System Admin or Standard User role. To give your user(s) access as an Analytics Admin, contact Envisio Support. |
| Projects Admin | Admin function such as general project settings, update templates, notifications, and project tags. The ability to create and customize project templates, project phases, task groups, and custom fields. |
Accessing Envisio through Single Sign-On?
If your organization access Envisio through Single Sign-On (SSO), to add new users, we recommend that you enable Envisio app access for those users if they are in your user directory. If they are not in your user directory, you can follow the steps above to manually create the user.
Once the user is set up to access Envisio via SSO, the following fields, which are synced during SSO setup, will be disabled in Envisio. Changes to them can only be done via your user directory system.
- First Name
- Last Name
- Department
- Job Title
