Publishing your plans and performance data in Public Dashboard requires some preparation.
Let’s explore how data moves from Envisio Plans to Public Dashboard and the general workflow in Public Dashboard.
Step 1: Review Plans Data
The Plans module is where your plan resides, which includes your Goals, Strategies, Actions, and optionally performance measures. To optimize the information you share on your public dashboard, we recommend that you request a plan update from your plan and measure owners. One way to ensure regular plan updates is by setting up Reporting Dates.
The following steps relate to the Public Dashboard module, accessible by your PD Administrator.
Step 2: Request Sync
From Public Dashboard, the PD administrator will run a process called Request Sync to bring Plans data into Public Dashboard. This process runs on-demand. If there is new Plans update, you can Request Sync again after it completes. The information it syncs over from Plans include:
- Plan number and label
- Plan description
- Status
- Progress %
- Last update
- Measure name
- Measure description
- Measure visual (Type, title and additional information)
- Measure comment
- Measure update date
Step 3: Design
The design stage is fun! You don’t need any HTML skills for this, just an eye for design. Building your public dashboard is as easy as uploading files and configuring the options through the admin console user-interface (UI). For some design ideas of Public Dashboards, check out the examples provided on this page. If you need further style customizations beyond what we’ve provided, you can customize the CSS through the admin console. To help you prepare for the design stage, here’s a list of design assets you can start collecting:
- Your logo
- The logo appears on the homepage as well as on the header section of each of the inside pages.
- For best results, image height should be anywhere between 100px - 250px with 72 dpi resolution.
- If you’re going with a colored background, we recommend that you upload a transparent PNG logo.
- Brand colors
- If you’d like your public dashboard to follow your organization’s website brand colors, you can take note of the color’s hex code used on your website’s header and footer and configure them in the admin console. You can ask your communications team for a brand style guide which should have all the information you need relating to your brand.
- Images
- On the homepage, you’ll need a banner image to introduce your site. Depending on the number of top-level Goals you’d like to display on the homepage, you’ll need to prepare an image for each of the Goals.
- For the interior page’s header, you have the option of either leaving it white, setting a solid background color, or using a background image.
- You could also add images to any of the interior pages so keep that in mind when designing your site.
- For best results and site performance, review the image requirements.
- Videos and third-party links
- Embedding videos and third party links are easily accomplished through our WYSIWYG editor. All you need are the i-frame links.
Step 4: Preview
This is an important step. It’s an opportunity for you and your team to review your site’s content, design and test for responsiveness before you select Publish (When you Publish a site, it’s discoverable on the internet).
We’ve provided two Preview options: Generate Preview with Branding or Generate Preview without Branding. Depending on whether you intend to i-frame your public dashboard onto your organization’s website, you will choose between the two brand options. Branding refers to the header, banner, and footer sections of your public dashboard.
Regardless of which option you choose, when you Generate Preview, it will open a new tab on your browser allowing you to interact with your public dashboard as though it’s a live site. This link is active for 30 days so hopefully, that’s sufficient time for you to share the link with your team members. If you need more time, simply regenerate a new preview link for sharing. When there are changes to your public dashboard, it’s always a good idea to generate a preview to check things through before you publish.
In our experience, it’s not uncommon to Generate Preview at least 10 times before your first publish. So happy Previewing!
Step 5: Publish
When you’re ready to share your story with the world, select Publish in the admin console. Now that it’s published, it’s searchable on the internet. If you have added a Google Analytics Tracking code you will be able to start collecting site visitor data from this point on.
If you need to take the site down, you can always Unpublish your public dashboard. When you unpublish, it will display a 404 Page Not Found error to anyone accessing the site directly.
When updating your public dashboard, you can leave your existing site in a Published state while you’re making updates. Visitors to your site will only see what you Publish.
