Share a Data Source, Visual or Dashboard with Others
Data sources, visuals and dashboards can be shared amongst users in your organization. Sharing is invocable by the owner or Analytics administrator. When you share data source, you can set the user's permission to Edit, Enter Data, or simply View your data source. For visuals and dashboards, you can only share with Edit or View permission.
The steps below use a Data Source as an example but are applicable to Visuals and Dashboards.
Steps to Share a Data Source
- Navigate to Analytics -> Data Sources.
- In the Data Source listing page, locate the data source you want to share. You can use the search bar to narrow your search. Click on the data source name to enter the data source edit page.
- Click on the Add Users icon located to the right of the owner's avatar to start sharing. You can use the search bar to search by a user's name, job title, or department.
- The user's current sharing option displays to the right of each user. By default, all data sources are private and other users will have 'No Access'. To grant access to individual user, click on the down-arrow.
- Choose from 4 sharing options: No Access, Can View, Can Edit, Can Enter Data.
- Click Save.
Click on the Show All button to filter by sharing options. This is a quick way to view the users with certain sharing options.
Sharing Options
No Access - By default, all data sources are private. This option is the most limiting, providing no access to the user.
Can View - By assigning another user view access, they can view the information in your data source, use it to build their transformation data source (Append, Pivot, Transpose, Organize) or visual. However, they do not have access to edit the structure or data.
Can Edit - This sharing option provides the user full viewing capability as described above, as well as giving them Edit access to your data source, allowing them to fully edit the data source structure and edit the data source cells. However, they can't share nor delete the data source. The deletion of the data source is only available to the data source owner and admin.
Can Enter Data - In addition to the viewing options described in Can View above, this option provides the user the ability to enter cell data into your data source. They can view the structure of the data source but will only have access to add/delete/edit cell data to your data source.
Share with Multiple Users
You can share your data source with multiple users at once using Bulk Select:
- To select everyone, you can skip this step -> First narrow down your search using the search box to search by user's name, job title or department.
- To enter bulk select mode, click on the Bulk Select option. See image above.
- Using either the Select All or the individual checkboxes, select the users you'd like to share the data source with. To assign sharing options to the selected users, click on Assign Selected.
- Choose a sharing option for the selected users.
- Click Save.
