A dashboard is a compilation of visuals that you can share internally or externally through a URL link. Each component (or widget) on the dashboard provides a snapshot of the metrics. Depending on the type of the component, you will have the option to either download as PDF, PNG or CSV.
Steps to Create a Dashboard
- Navigate to Analytics -> Dashboards.
- Click on New Dashboard button.
- Name your dashboard by replacing the 'Untitled Dashboard' with your dashboard name, this will make it easier for you to find it later. Tab or click anywhere outside the box to save your changes.
- Start adding your visual(s) to your dashboard by clicking on Add Visuals button. A list of visuals will display.
- Next, select the visuals to add to your dashboard by checking the box next to the corresponding visual(s) you wish to add. Once selected, simply click on Add to Dashboard.
- Your selected visuals will display on your dashboard as widgets. You can resize or reposition your widget. To resize your widget, click on the handle on the bottom right of your widget.
- To reposition your widget, click anywhere on the chart and your cursor should turn into a hand icon. Simply click and drag the widget to its new position.
Note: When creating a new dashboard or editing an existing dashboard, you automatically enter into dashboard Edit mode where you should see the handle and the hand icon. If you're not seeing them, click on Edit Dashboard button on the header or check to see that you're in the edit mode. - To remove the widget from the dashboard, click on the three dots on the widget and select Remove Widget.
Other options available under the Widget are:
Edit
Clicking on Edit takes you right into the visual edit screen so that you can make edits to the visual. This option is only available if you are the owner or editor of the visual, and you have edit rights to the dashboard.
Download PNG, PDF or CSV
On each widget, depending on the type of visual it represents, you will see the option to download the visual either as a PNG, PDF or CSV. PNG is a standard resolution image file whereas PDF provides you with print-quality resolution so it's the ideal choice if you're looking to print the chart. The download CSV option is only available on table and scorecard visual types.
Share Dashboard Internally
To share your dashboard with others within Analytics:
- Click on Add Users on the dashboard header.
- Next select users. This can be done individually or selecting the checkboxes next to the employee names. You can use the search bar to search by a user's name, job title, or department.
- The sharing option displays to the right of each user you can share your dashboard with. By default, all dashboards are private and other users will have 'No Access'. To grant access, click on the down-arrow.
- Choose from 3 sharing options: No Access, Can View, Can Edit.
- Click Save.
Click on the Show All button to filter by sharing options. This is a quick way to view who you've assigned certain sharing options to.
Sharing Options
No Access - By default, all dashboards are private. This option is the most limiting, providing no access to the user.
Can View - By assigning another user view access, they can only view the information in your dashboard.
Can Edit - This sharing option provides the user full viewing capability as described above, as well as giving them Edit access to your dashboard, allowing them to fully edit the dashboard's setting. However, they can't share nor delete the dashboard. The deletion of the data source is only available to the dashboard owner and admin.
Share with Multiple Users
You can share your dashboard with multiple users at once by enabling the Bulk Select mode by clicking on Bulk Select:
Once in Bulk Select mode, follow the steps below:
- First narrow down your search using the search box to search by user's name, job title or department.
- Select the users to apply the bulk operation by clicking on the checkboxes next to the names. To select all the users displayed, click on the top check box to Select All. To remove a few users from the general selection, you can uncheck the boxes next to the names.
- To assign sharing options to all the selected users, click on Assign Selected.
- Select a sharing option for the selected users.
- Click Save.
Share Dashboard Externally Via URL Link
There might be times when you wish to share your dashboard with external stakeholders. You can do that by generating either a live or static URL link. Here's how:
- When in the dashboard, click on Dashboard Settings and toggle the option to generate the desired link:
Enable Live Universal Link
A live universal link is a publicly accessible live link that automatically refreshes as the dashboard data is updated.
Enable Static Universal Link
A static universal link is a publicly accessible link that retains the information at the time the snapshot is generated. - Once the option is toggled, a link will appear below the option. Click on the link to view the dashboard in your browser. You can then copy the link and share it with others whether via email or to use it as part of an embed URL.
