In this article you will learn how to configure folders, move records into or out of folders, and use folders to change how you view a table.
Who has access: System Admins.

Folders are stored on the table and can be managed by sysadmins.
Note:
Folders are viewable by standard users. They cannot edit folders or folder content, but can benefit from having folders on their tables to help organize their records. If a folder is empty, it will not show for a standard user but will still show for a sysadmin.

Configuring Folders
On the top right of the table, you will see a cog icon. Click on the icon to bring up the Folders Settings menu:
Select “+Add Folder”. Pick a name and colour for your folder. Continue to set up as many folders as you want for this table.
Once you have added the folders, you’ll see them appear at the top of the table ready for you to add records into.
Use the same menu to rename or set new colours for the folders.
If you want to delete a folder, use the garbage can icon to remove it. Deleting the folder will not delete its contents. Instead the contents of the folder will be moved outside of the folder and then the folder will be deleted.
Managing Records
Select the records you want to move into a folder. Using the “...” icon, select “Move to Folder” and then select the folder you want to move the records into.
You can also use this to move records out of a folder.
A record can only belong to one folder.
Viewing the table
With your folders configured, you now have a couple of different ways that you can view a table.
- Expand a single folder (1)
- Use the arrow to expand or collapse a single folder to view/hide its contents
- Expand all folders (2)
- Expand or collapse all folders to see all of the contents within and outside of a folder
- Remove folders from the view (3)
- Hide folders completely to view the table without any of the folders or their colours. Click again to show folders.
A Note on Filters
If you use a filter, an icon will indicate how many records within the folder meet that criteria:
