Data Source Reminders and Notifications
Management needs up-to-date information on key metrics to help them make business decisions. In order to do that, It is important that data sources receive timely updates, especially with manually entered data sources. To ensure timely input, you can set up data source Reminders. Data source reminders can be enabled by data source owners and editors on Manual and Measure type data sources.
There are times when users wish to be notified when new data is added, deleted, or changed on a data source. You can set up data source Update Notifications to keep users informed. Note that currently, only the data source owner can enable Update Notifications.
Set Up a Data Source Reminder
You need to be a data source owner or editor to set up Reminders.
Reminders are available on Manual or Measure type data sources.
- Navigate to Analytics -> Data Sources.
- Click into a Manual or Measure type data source to edit the data source.
- With the data source open, click the data source name to the right of the database icon to access the properties panel.
- Click on Set Reminder toggle to enable Reminder.
- Set a Start On date. It defaults to today's date but you can set a future date.
- You can optionally set up an End On date to prevent unnecessary reminders being sent. This is useful if your data source is structured to capture yearly data.
- Set a time you'd like the email reminder to be sent.
- Add Recipients. By default, the first recipient is the user who enabled the Reminder. To add additional recipients, click on the Add Recipient button
. If the Add Recipient button is disabled, it's because you have not granted any other users with Can Edit or Can Enter Data permission on the data source. Access the Sharing option to grant others access.
- Set Frequency. You can choose from Daily, Weekly or Monthly. When selecting Weekly or Monthly, you will be presented with additional options.
Note: Changes are auto-saved as you go, there is no Save button.
How to Tell When a Reminder is Set?
When looking at the Data Source, you can tell a Reminder is set when you see an alarm clock icon next to the data source Type field.
On navigating back to the datasource listing page, users can view the next reminder set and an indicator against this date, if the reminder is upcoming or overdue
On any datasource row, there is a tooltip for an info icon and delete icon. Clicking on this info icon opens up an information panel on the right.
Set Up a Data Source Notification
To notify users when new data is added, deleted, or changed on a data source, you can enable Update Notification on the data source.
You need to be a data source owner to set up Notifications.
- Navigate to Analytics -> Data Sources.
- Click into a data source to edit the data source.
- Go to the Sharing option by clicking on Add Users icons.
- To enable the notification, click on the bell (Enable Update Notification) icon. By default, notification is disabled on all data sources. When you enable Update Notification, all users who have been provided access to the data source will receive an email notifying them when row changes occur on the data source.
- Important! Click Save to save the changes.
