Overview
Status is a qualitative indicator that helps clearly and easily communicate how a deliverable is advancing and performing through the deliverable's lifecycle. Progress represents the percentage of completion towards the achievement of that deliverable. In Envisio, Status and Progress starts at the lowest planning level, and aggregates as an average at each ascending level of the planning hierarchy. In this way, management and stakeholders can receive true and accurate management reporting.
Status
The Envisio Status combines the Red-Amber-Green (RAG) traffic-light status reported by the user at the lowest planning level (Action) during a progress update, and some system-generated statuses. By default, the statuses are:
The RAG status labels can be customized at the plan level by your system admin or plan owner to match your organization's needs.
Status Pending
Every new lowest level planning element (Action) added to the plan with a null or current start date begins with the status of 'Status Pending' when the plan is activated. This is a system-generated status. What this means is it's awaiting a progress update from the Action's Owner/Contributor. When the user provides an Action update, he/she will mark the status with one of: 'On Track', 'Minor Disruption', 'Major Disruption', or 'Completed'. At this time, the Action's Status will change from 'Status Pending' to one of the RAG indicators or 'Completed'.
On Track
Denoted by the G in RAG status, On Track indicates that the deliverable is going according to plan both in time and budget. This is manually provided by the user during an Action update.
Some Disruption
Denoted by the A in RAG status, Some Disruption indicates that you are behind schedule and at risk of not completing the deliverable on time or on budget. This is manually provided by the user during an Action update.
Major Disruption
Denoted by the R in RAG status, Major Disruption indicates that you are severely delayed and definitely will not be able to complete the deliverable on time and on budget. This is manually provided by the user during an Action update.
Upcoming
This is a system-generated status representing Actions with a future-dated start date. Since these Actions have not started, progress update functionality is disabled.
Discontinued
Discontinued indicates that the deliverable is suspended. Actions can be marked as Discontinued through View/Edit Plan or Submit Updates during an Action update.
Completed
This indicates that the deliverable is achieved.
Your organization may have its own definition for the RAG status. Check with your administrator.
Progress
Progress is represented in % and is used to indicate how far along you are in completion of the deliverable. When providing the lowest level planning element (Action) update, the Owner/Contributor provides the progress % at the same time they're marking the status.
If the Action uses a manual or weighted checklist, the progress is determined by the completion of the checklist items.
Aggregated progress
Lowest planning level progress slider bar will now be aggregated upwards so that plan members can see the overall progress of their Goals and Strategies. At the overall level, users will be able to see the progress the organization is making towards the achievement of their plan. The aggregated progress bar will include active Actions (they carry one of Status Pending, On Track, Some or Major Disruption), upcoming Actions, completed Actions and ongoing Actions (with no end date) that are marked complete.
When a user marks the Action as Completed, it will immediately be reflected through the ascending planning hierarchy. Ascending parents' Owner/Contributor as well as Actions' Contributors will be notified of the completed Action through their Activity Stream.
A progress % indicator is only available to Actions with end dates. Actions without end dates contribute to the progress % when the Action is marked as 'Completed'.
Actions without end dates (On-going Actions)
Actions without end dates do not participate in the aggregated progress calculation and as such, users will not be presented with a % completion slider during progress update. They will have a new Completed button. Typically these are Business as Usual (BAU) Actions that has no time bound and as such, it is not required to provide a % completion progress. So, during Planning, when you're adding Actions, ask yourself if you need to know how far along the Action is from completion. If the answer is yes, then you need to set an end-date.
Expected Progress
If you have Expected Progress configured on your plan, you will see a marker on all the progress bars that represents the progress % of where the deliverable ought to be based on the start and end dates.
Plan Status and Progress Dashlet
You can view a plan's rolled-up Status and Progress on the home page in the Plan Status & Progress dashlet. Everyone can see the progress their team is making towards the achievement of their plan.
